Guide

Running one WhatsApp Business number with a whole team

Most businesses in Pakistan sell and support customers on one WhatsApp number that several staff answer. Here is how teams set it up, why customers still go unanswered, and how owners can keep track without reading every chat.

Three common setups

How teams share one WhatsApp Business number

One phone at the counter

Everyone replies from the same phone. Simple, but only one person can reply at a time, and nights and weekends depend on who has the phone.

Linked devices (WhatsApp Web and desktop)

The WhatsApp Business app lets a few extra devices use the same number. Several staff can reply at once from their computers, and this is how most teams in Pakistan work.

WhatsApp Cloud API through a support tool

Larger teams connect the official API to a team inbox. It adds assignment and seats, but needs a Meta developer setup, message fees and moving the team to a new tool.

The catch

Why customers go unanswered on a shared number

Sharing a number solves who can reply. It does not solve who did reply, or who never got a reply at all.

Everyone thinks someone else replied

When four people can see a chat, each assumes another one answered it.

Chats get buried

A busy hour of new orders pushes a waiting customer out of view, and the chat is never scrolled back to.

“Seen” is not “answered”

Opening a chat marks it read for everyone, even if nobody replied.

No reply-time numbers

WhatsApp Business shows messages, not how long customers waited or how many were never answered.

Good habits

Six habits for faster replies on WhatsApp Business

  1. 1Reply only from the business number, never from staff's personal numbers, so every reply is in one place.
  2. 2Agree a target first-reply time, for example 30 minutes in working hours, and tell the team.
  3. 3Use labels in WhatsApp Business (New order, Pending payment, Complaint) so open chats are easy to find.
  4. 4Set a greeting and away message so customers know when to expect a reply.
  5. 5Check unanswered chats twice a day, or let a tool such as BizAgent track them for you.
  6. 6Tell staff that the business channels are monitored. It is fair, and it improves replies on its own.

Where BizAgent fits

Keep your setup. Add the view the owner is missing.

BizAgent connects to the same number your team already uses. Staff keep replying as they do today, and you get the numbers WhatsApp does not show.

  • Every customer query tracked until someone replies
  • An alert when a query or hot lead waits too long
  • Your team's first-reply time, every day
  • A daily report on your own WhatsApp

FAQ

WhatsApp Business for teams: common questions

Can more than one person use the same WhatsApp Business number?

Yes. The WhatsApp Business app lets you link extra devices, such as WhatsApp Web or the desktop app, to the same number, so several staff can reply at the same time. The main phone still holds the account.

Can I see which staff member replied to a customer?

Not on a shared WhatsApp Business number. All replies come from the same number, and WhatsApp does not record which linked device sent them. Tools like BizAgent therefore report on the team as a whole.

How do I know how many customers were not answered?

WhatsApp Business does not show this. You can scroll back through chats by hand, or connect a tool that tracks every query until someone replies. BizAgent does this and sends you the count each morning on WhatsApp.

Does connecting BizAgent use one of my linked devices?

Yes, the QR connection works like WhatsApp Web and uses one linked-device slot. It reads messages and team replies, and does not send anything unless you approve it. We explain the small risk of WhatsApp restrictions before you connect.

Stop guessing. See how your team handles every customer.
